EXECUTIVE ASSISTANT - Travel Manitoba is seeking a highly energetic Executive Assistant. Reporting to the President & CEO and the Senior Vice President (SVP), the Executive Assistant provides senior administrative support and works collaboratively with internal and external stakeholders to achieve Travel Manitoba's performance targets and strategic priorities. This position requires an ability to manage diverse and complex administrative and organizational tasks with speed, accuracy and discretion. Responsibilities: Manage and maintain executive schedules, including scheduling travel, conferences and coordinating meetings. Serve as the liaison between the CEO and SVP, and the board of directors, government officials, the general public, the travel industry and employees of the corporation. Interact extensively with others on the phone, via email and in person. Prepare correspondence and reports which often deal with sensitive and confidential matters. Ensure that all correspondence reflects the professionalism of the corporation. Coordinate and take minutes for all Board, Executive, Governance and Audit Committee meetings. Prepare and manage annual budgets for the Board and CEO. Assist with the Human Resource recruiting function by compiling and reviewing applications received, setting up interviews and corresponding with applicants. Review and evaluate Corporate By-law and Corporate Operating Policies to ensure they are in compliance with corporate rules and mission and make amendment recommendations for review by the board. Manage the organization's archive system in accordance with government requirements. Assist with various office administration duties. Requirements: 5+ years experience providing administrative support to senior or executive management. Strong verbal and written communication skills. Accuracy and attention to detail. Exemplary organizational and time management skills with the ability to prioritize and meet conflicting deadlines. Excellent interpersonal skills including the ability to interact effectively with government officials, senior managers, other staff, board members, external agencies and professionals, and the general public. Ability to take initiative and work independently with minimal supervision. Experience using Microsoft Office programs including Word, Excel, Power Point and Outlook. Knowledge of the tourism industry is an asset. Bilingualism (English & French) considered an asset. Valid driver's license.
